A caregiver completes a visit
Clocked in and out, location verified
Payroll
Hours at the rate that applied that day
Billing
An invoice line for the payer
Compliance
The EVV record, kept as evidence
Reporting
Margin, utilisation, and the audit trail
Entered once. This is the part that is hard to see in a feature list, so it is where the demonstration starts.
Why book a demo
No two agencies run the same way.
Which is why a recorded product tour would tell you very little about whether this fits yours.
Two agencies of the same size can be completely different operations. One runs mostly Medicaid with strict EVV requirements; another is private pay with families who want visibility. One has a scheduler who knows every caregiver’s preferences by heart; another has three coordinators and a shared inbox.
A generic demonstration cannot tell you whether software fits that. So we ask first, and show second.
It is a conversation, not a presentation. There are no slides. You will see the working product, and you are welcome to interrupt at any point — the questions are more useful to us than the script is.
We are also early, and choosing our first agencies deliberately. That means part of our job on the call is working out whether CareOS is right for you yet. If it is not, we would rather tell you than talk you into it.
What you’ll see
The whole product, working.
Every area below is built and running. We will spend the time on whichever ones matter to you rather than marching through all eight.
Scheduling
A calendar-first view with recurring series, open shifts, caregiver availability, and conflict detection that refuses a double-booking rather than warning about it afterwards.
People
Clients, caregivers, contacts and staff in one place, with documents, status changes, and a record of who edited what.
Visits & EVV
GPS-verified clock-in and clock-out, a documentation-pending queue, and incident reporting — the visit record that everything downstream depends on.
Payroll
Draft runs built from verified visits, using the pay rate that applied on the day worked rather than today's rate.
Billing
Invoices generated from the same verified visits, with payments, overdue tracking, and a printable invoice.
Reports
An executive view plus per-module reporting, with period-over-period comparison and CSV export of anything you can see.
Administration
Users and roles, pay and billing rates, your service catalog, and an audit log you can read yourself without asking us for it.
WISDOM
An assistant that answers questions about your operation from a summary that has client and caregiver names removed before it ever leaves CareOS.
How it works
What happens, start to finish.
So there are no surprises about what you are agreeing to.
You send the request
Seven fields. The last one — what is most frustrating about your current setup — is the one that shapes everything after it.
We reply personally
A real person reads it and writes back. Not an autoresponder, and not a sequence you have to unsubscribe from.
We agree a time
Whatever suits the people who need to be there. Video call, no software to install.
The demonstration
About 30 minutes. We ask about your workflows before showing anything, then walk through the live product against the scenarios you described.
Questions and discussion
Bring the awkward ones — data ownership, what happens if you leave, what is not built yet. Those are the useful part.
What happens next
We tell you whether CareOS fits, and if it does not, we say so. If it does, we agree the next step together — no pressure to decide on the call.
Who should attend
Bring whoever will actually use it.
You do not need all of them. But the people who feel the daily friction ask the sharpest questions, and those are the ones worth answering.
Agency owner
Margin, utilisation, and what the operation looks like when someone else is running the schedule.
Administrator
User accounts, roles and permissions, the audit log, and what happens when someone leaves the agency.
Clinical director or supervisor
Care plans, visit documentation, incident reporting, and how supervision is evidenced.
Office manager
The day-to-day: who is where, what is unfilled, and what still needs documenting before the week closes.
Scheduling manager
Recurring visits, open shifts, availability, conflict handling, and how a last-minute call-off is actually resolved.
Finance or billing manager
How verified visits become a payroll run and an invoice, how historical rates are held, and what exports you get.
Request a demo
Tell us about your agency.
Seven fields. We ask for the smallest amount that lets us prepare something useful.
What to expect
- A 30-minute call with someone who built the product.
- We will ask about your workflows before we show you anything.
- You will see the real product, not slides.
- If CareOS is not right for you, we will tell you.
- No follow-up sequence unless you ask for one.
Wondering how your clients’ data would be protected? That is a fair thing to ask before a call rather than during one. Read how CareOS handles security, including what we have not built yet.
Questions
Before you book
The things people ask us before agreeing to a call.
How long is the demo?
About 30 minutes, and we keep to it. If you want longer, or a second session with more of your team, we will arrange it — but we will not quietly turn a half-hour into ninety minutes.
Is there any obligation?
None. There is nothing to sign, no trial that starts automatically, and no card required. If you decide CareOS is not for you, that is a perfectly good outcome of the call.
Can multiple people attend?
Yes, and it usually makes for a better session. An owner, a scheduler and whoever handles billing will each notice different things. Tell us who is joining and we will make sure the demonstration covers their areas.
Will the demo use our agency's data?
No — and it could not. You do not have a CareOS account yet, so there is no data of yours in the system, and we would not ask you to send us client records to look at software.
What we do instead is use a demonstration agency with realistic but entirely fictional clients and caregivers. If it is useful, we can put your numbers through it live — your visit volumes, your pay and billing rates — and show you the payroll run and the invoice that come out the other end.
Can we ask questions during the call?
Please do. Interrupting is welcome, and the difficult questions are the useful ones — what happens to our data if we leave, what is not built yet, what breaks at our size. We would rather answer those than finish a script.
What happens to the details we send?
We use them to arrange the demonstration and to prepare for it. You will not be added to a mailing list, and there is no automated follow-up sequence.
Are you the right size for us?
We are early and are deliberately taking on a small number of agencies. If you are much smaller or much larger than we can serve well today, we will say so on the call rather than after you have committed.
Bring the scenario that breaks your current software.
The overnight shift that straddles two days, the caregiver who covers three clients in one afternoon, the payer who needs the visit evidenced. Those are the interesting thirty minutes.
